One partner for the whole back office.
Four services. A client can buy one service or all four. Start with one service — the structure is the same.
Backline One Finance
Money in, money out, and the paperwork behind both. Preparation and checking, with approval staying on the client’s side.
Invoice processing — receiving supplier invoices, entering them, matching to orders, flagging anything that does not line up
Accounts payable — preparing payment runs, keeping supplier balances current, chasing missing invoices and credit notes
Accounts receivable — raising customer invoices, tracking what is outstanding, sending payment reminders on a set schedule
Reconciliations — matching bank statements to the ledger, clearing unmatched items, listing what needs a decision
Expenses — collecting receipts, coding them, checking them against policy, preparing them for approval
The accountant’s pack — gathering and coding everything the external accountant needs each month so the set is complete and on time
Reporting preparation — pulling the numbers into the client’s own format, ready to be read
Discrepancy follow-up — chasing the supplier, the customer or the colleague until the item is resolved or escalated
Backline One HR
The administration around employing people. Not advice, not decisions.
Employee records — keeping the HR system current as people join, change role, change pay, change hours or leave
Contracts and documents — drafting from the client’s templates, sending for signature, filing, tracking renewals
Onboarding — preparing paperwork, setting up accounts and access requests, running the checklist before day one
Offboarding — the same in reverse, including the return of equipment and the closing of accounts
Leave and absence — recording holidays and sick days, keeping balances right, flagging what needs attention
Payroll preparation — collecting hours, absences, joiners, leavers and changes, then handing the payroll provider a clean pack each month
Recruitment administration — posting roles, sorting applications, scheduling interviews, keeping candidates informed
HR reporting — headcount, absence and turnover figures in the client’s format
Backline One Operations
Work with a counterparty and a clock. Somebody is waiting for it.
Customer accounts — setting up, updating and closing accounts, keeping the details right
Order processing — taking orders in, entering them, checking them, confirming them, following them through
Quotations — preparing quotes from the client’s price list, sending them, logging them, following up
Tickets and requests — working the queue to the client’s rules, resolving what can be resolved, routing the rest
Case handling — the longer-running items that need a person to own them until they close
Returns and claims — processing returns, credits and replacements, keeping customers informed
Supplier and purchasing admin — raising purchase orders, checking confirmations, chasing deliveries
Operational follow-up — the chasing between departments, suppliers and customers that otherwise falls to a founder
Operational reporting — the weekly or monthly pack on volumes, backlogs and response times
Backline One Records
Data and documents. A standard and a deadline, but nobody waiting on the other end.
Data entry — entering data into any system the client uses, to the client’s rules
Database maintenance — keeping records current, removing duplicates, correcting what is wrong
Data validation — checking data against a source and listing what does not match
Spreadsheets and lists — building and maintaining the working files a business runs on
CRM hygiene — lead and customer data, pipeline updates, keeping the sales system honest
Document processing — entering, classifying and indexing documents so they can be found
Document checks — verifying documents against a checklist and flagging what is incomplete
Digital filing — organising files into a structure the client’s own people can navigate
Contract and form administration — filing, indexing and tracking dates
Information extraction — pulling specific fields out of documents and into a structured file
Product listings and catalogues — creating and maintaining listings, specifications and images
There is no sales service.
Backline One does not do outbound prospecting, lead generation, appointment setting or closing. Sales administration lives in Records, as CRM hygiene, and in Operations, as quotations and order processing.
